Chapters exist as an entity entirely apart from their current President. A chapter email address that is not tied to an individual and can be transferred between incoming and outgoing Presidents
offers advantages.
When creating a chapter email address the account creation information, login and password should be stored in chapter records and not be privately held by one individual. For example, a password
protected file could sent to the Secretary and 1VP.
One advantage of a dedicated chapter email account is that current issues requiring ongoing communication are available for the next person to follow through on.
The second advantage is that the Address Book or Contacts Listing along with any created Groups remain intact and ready for the next President or her designated Email Manager to use.
A third advantage is that all the Internet sites and services which required registration (websites, domain registras, orders placed with companies, social media accounts, communication service
accounts, software registration, software support, etc) will remain accessible under new leadership.
Finally, a chapter email address allows for the newly elected President/CAB to update that email account password and the passwords of all the other accounts registered under the chapter email
address.
In general, Presidents are by default, the Administrator of all technology services used by the Chapter. The president may wish to appoint a trusted member to manage and administrator these
Internet Technology and related electronic "soft"'services accounts. An acceptable title would be IT Admin or Tech Support.
The most common email services I have seen used by chapters is Gmail and domain email.
Even with domain email, the starting point in creating a domain is to have an email address that is used to register with a service where you can purchase your chapter domain name. That email
could be the one assigned by ASG to your chapter or it could be an email address the chapter created using an email service or provider.
If you opt not to use a domain email address for your chapter, it is advisable to do your research. The email service should allow web access and not require software specific to an operating
system (Windows, Mac, Linux). If it is tied to software, that software should be available for all computer operating systems. Your research results should reflect that your choice is stable,
secure, offers privacy settings and is not difficult to learn.
In the past Gmail was recommended but since the introduction of 2FA and tracked IP access, it has beome increasing difficult to hand a Gmail account over to a newly elected President or to make
it accessible to more than 1 individual. I encourage you to compare email providers choose one that best fits your Chapter's requirements.
I am most familiar with Gmaik and Workpace Mail and their advantages. These include gigabits of free space for your chapter files, the ability to send a link to an attachment that is too large
for email, the ability to receive chapter email directly into your personal email software, to allow someone to send emails on your behalf, to create a You Tube channel for posting private and
public videos, to create groups and much more.
Google WorkSpace is free for non profits. If you use WorkSpace for your domain email, you have all the same Gmail features but within a more secure platform.
