Domain Email is a totally separate service from your website. It is an option that is not widely used in our ASG chapters. For one it costs money for each email address each year and most chapters do not have the revenue to support it. If they opt for a free non profit domain email manager such as Google WorkSpace, then the issue is finding someone with the skills to act as the email administrator. You may decide having a domain email address is worthwhile. For most chapters it isn't.
Many of the website builders offer one email address free or at a nominal cost.
Domain email addresses always end in your domain preceded by the @. For example, my chapter's domain is sgcasg.org and all of our domain emails end in @sgcasg.org.
The reasons for using domain email is varied. In my chapter, we wanted to use it in our newsletter, flyers and business cards so our personal email addresses were not at risk.
Another reason for using domain email is in dealing with email inquiries outside of ASG. When our chapter receives webmail, the sender is included in the email that is forwarded to the appropriate officer or leader. By using her domain email address instead of her personal address, the person inquiring does not have her personal email address.
Domain email is often used as a mask by inserting a "forward to" command in the account. In my chapter, none of our members actually log in to use it. Instead, domain email is automatically forwarded to their personal email account.
For example, if the newsletter contains an email address like beverly@sgcasg.org and someone sends an email to that address it ends up in Beverly's personal email account Inbox- the one she used to sign up with ASG.
Creating and managing domain email accounts is more complicated than creating and managing websites. If after reading all this, your chapter is interested in domain email you can enroll in Google Workspace for non profits which offers free domain email. Workspace offers personalized email support and extensive support forums.
You will need to submit your Chapter's EIN for verification. It usually is approved and ready for use within a week by Tech Soup. If your chapter does not have the required Letter, you can get a copy from ASG Headquarters.
My chapter uses the Groups app in Workspace to configure an email distribution list for our CAB and Leaders. Using one email address (cab@sgcasg.org) allows any member of our CAB to send an email with attached files to every single person in that group. Our Workspace CAB Group is composed of elected officers, appointed chairs and NG Leaders.
Using that one email means that members do not need to keep up with individual members changing their email addresses. We also use a second domain email address for our news. An email sent to that group will reach our President, Editor, Web Manager, Historian and Publicity Chair.
Although seamless to the people using our group domain email, it requires someone (me) to check for email address changes on the ASG reports menu and then make those changes in Workpace.
If you do not need domain email, but do need a way for your board members to communicate yiu may want to consider Groups IO (GIO).
A few chapters have moved their CAB communication to that platform. Some are using GIO as an email address for member communication and creating a subgroup of Groups IO (GIO) as the email address for their CAB communication.
While free prior to 2020, GIO is now charging $220 per year for the ability to add subgroups. You could instead create a stand alone free CAB group on GIO. GIO does not offer domain email addresses unless upgraded to an Enterprise account which is well out of the reach of our shoestring budgets.
I plan to create an area addressing Group Communication Platforms which will discuss free and low cost communication platforms suitable for CABs and Chapter Members.
